How to share a link to a file or folder

In certain situations, you may wish to share a link to a file or folder, rather than creating a user account for the recipient. Administrators and Editors have the ability to share items in this way.

Sharing links on a computer

  1. Go to Ruby Datum > Documents.
  2. Right-click on the relevant file or folder and click Share.
  3. Check Share document / folder externally.
  4. Copy the link and optionally apply a password or set access restrictions.
  5. Click Share Document / Folder.
  6. Email the link to the intended recipient(s).

Sharing links on mobile or tablet

  1. Go to Ruby Datum > Documents.
  2. Tap on the information icon next to the file or folder you want to share.
  3. Tap Share.
  4. Tap Share document / folder externally.
  5. Copy the link and optionally apply a password or set access restrictions.
  6. Tap Share Document / Folder.
  7. Email the link to the intended recipient(s).

Notes

Shared items can be distinguished by an icon that appears to the right of the file / folder title.

You can follow a similar process to revoke access to a shared item.

Administrators can turn off the ability for users to share items in this way by going to Settings > Document Settings and check/uncheck 'Allow External Sharing?' and Save.
