Change file and folder settings

Administrators can change file or folder settings on a computer, mobile or tablet.

  1. Go to Admin.
  2. Under the Documents list, click on the relevant option (see explanations below).

Changing file and folder settings on a mobile or tablet

  1. In the main menu, tap on Admin & Export.
  2. Tap Documents.
  3. Tap on the relevant option (see explanation below).

File and folder settings explained

User Permissions: set file / folder access restrictions and specify if users can print or download files. See How to set access restrictions in bulk.

Custom Fields – Documents / Folder: add optional or mandatory fields for users to complete when adding a file or folder. These will show up in the file / folder Details section.

Document Settings

  • Automatically extract compressed files to folders: you can choose to prevent zip files from automatically extracting when you upload them.
  • Choose the default restrictions for all folders.
  • Choose the default access for all documents.
  • Convert files automatically to PDF: compatible files will be converted to PDF format when a user downloads them.
  • Restrict file types: specify which types of files users can upload (e.g MS Word, PDF, Excel).
  • Allow External Sharing: specify whether Administrators and Editors can create links to files or folders.
  • PDF Index Export: specify whether the document date is shown.

Manage Watermarks: add a watermark to appear over the top of compatible files. Watermarks can be text or images.
